In Indonesian Law No. 43 of 2009 explains that archives are recordings of activities or events in the form and media in accordance with the development of information and communication technology made and accepted by state institutions, regional governments, educational institutions, companies, political organizations, community organizations, and individuals in the implementation of social, national and state life.
State Polytechnic of Jember as a vocational education institution also has archival documents that are managed at the institution. The institutions in question include the Academic Sector, General and Financial Sector, Student Affairs, and Cooperation Sector. Documents from each unit can be in the form of incoming and outgoing documents.
Archives contained in institutions, organizations, and individuals mostly still use paper and accumulate in the room, which over time will definitely require a lot of space, then by piling up the paper will affect the process of searching for archival data if needed. With current technological developments, archives that are still paper-based or not yet paperless can be used as a digital-based archiving system so that they are environmentally friendly, do not require a lot of space, and make it easier for institutions to manage archives.
Now, a similar condition is also experienced by institutions at the State Polytechnic of Jember, archives are still in the form of paper and pile up in cabinets or archive racks as well as in the rooms of each unit which over time will also require a lot of space, archives that continue to grow and accumulate are also prone to lost like borrowed by another unit forgot to return it or for other reasons. Then it will also take a long time if you want to find the required archives, for example in the accreditation process, searching student data, searching for incoming and outgoing archives.
From these problems, a Web-Based Dynamic Archive Application is needed that can store archives with large storage capacities without the need for a lot of paper piling up in the room, minimizing the occurrence of letter loss due to digital storage, making it easier to find the archives you want to find. Moreover, currently still in the Covid-19 pandemic period where it is recommended to work from home, accessing archives can also be done from home using the Web-Based Dynamic Archive Application without having to come to the room directly.
In the case of State Polytechnic of Jember (Polije), the author developed a web-based archiving application and searching data based on physical location of data. The application has been developed according to the case study at the Polije and this is ready to be launched.
